HOURS OF WORK: 37.5 hours per week
PAY RATE: $36.61 per hour
We’re seeking an Administrative Office Support in Assessment & Taxation to join our team in a permanent capacity. Reporting to the Assessment and Taxation Manager, this position provides administrative, customer service, records management, and operational support to the Assessment & Taxation department. The role supports legislated assessment and taxation processes, departmental administration, records management, purchasing, communications, and customer service while ensuring accuracy, confidentiality, and compliance with municipal legislation, bylaws, policies, and procedures.
In this role, you will:
- Provide exceptional customer service to property owners, businesses, legal representatives, developers, and internal stakeholders.
- Respond to assessment and taxation inquiries by phone, email, correspondence, and in person, providing accurate information and guidance.
- Coordinate and process requests for assessment, taxation, and property information in compliance with legislative and privacy requirements.
- Prepare, maintain, and distribute departmental correspondence, reports, presentations, information packages, and documentation.
- Support the administration of annual, revised, and supplementary assessment processes, including roll generation for public access requirements and legislated assessment mail-outs.
- Coordinate departmental records management activities, including electronic and physical filing, document retention, and records control.
- Process purchase requisitions, purchase orders, memberships, subscriptions, training registrations, renewals, and related administrative activities.
- Maintain departmental calendars, meeting schedules, agendas, minutes, project documentation, and shared mailboxes.
- Administer and maintain departmental SharePoint content, internal communications, and website information.
- Coordinate assessment administrative functions, including mail outs for sales verification, Requests for Information, reinspection requests, as well as data imports, property photograph management, and agent authorizations.
- Support taxation administration activities, including account maintenance, TIPP administration, customer account inquiries and report generation, and provide administrative support for tax recovery and tax sale processes.
- Maintain accurate records and databases within corporate and departmental systems, identifying and resolving discrepancies or escalating issues as required.
- Contribute to departmental projects and initiatives, including identifying and implementing process improvements, procedure development, and providing administrative and operational support as assigned.

Qualifications & Experience:
- High school diploma supplemented by post-secondary education in Business Administration, Office Administration, Public Administration, or a related field is required; a diploma is considered an asset.
- Minimum two years of progressively responsible administrative experience in an office environment.
- Experience providing exceptional customer service and responding professionally to inquiries and challenging situations.
- Experience supporting administrative, financial, purchasing, records management, or similar business processes.
- Experience maintaining confidential records and information with a high degree of accuracy and discretion.
- Experience working with software applications and business systems, including Microsoft Office (Outlook, Word, Excel, Teams, and SharePoint)
- Experience with municipal systems such as CAMAlot, Tempest, JD Edwards, GIS applications, and records management systems is considered an asset.
- Experience coordinating administrative procedures, workflows, documentation, and records management activities.
- Experience in a municipal, government, taxation, assessment, finance, or regulatory environment is considered an asset.
- Knowledge of the Municipal Government Act (MGA), Protection of Privacy Act (POPA), Access to Information Act (ATIA), and related municipal legislation is considered an asset.
- Strong organizational, analytical, problem-solving, and time-management skills with exceptional attention to detail.
- Excellent verbal and written communication skills, including the ability to interpret information, provide clear guidance, and effectively resolve customer concerns.
- Ability to manage multiple priorities, meet deadlines, maintain professionalism under pressure, and work independently and collaboratively within a team environment.
